Onboarding

Human Resources coordinates employment eligibility verification for all university employees.  Federal law requires employers to verify the employment eligibility and identity of all employees hired to work in the United States. To meet these requirements, Loyola Marymount University uses tools to confirm the employment eligibility of newly hired faculty, staff and student employees:

  • Form I-9 — Employers are required to complete the Employment Eligibility Verification Form I-9 for all new and rehired employees (both citizen and noncitizen).
  • E-Verify — An online platform operated by the Department of Homeland Security which allows employers to verify the employment eligibility of employees.
  • Workday — LMU’s human resources system that stores employee information to verify employment eligibility.

Completing an I-9 online

Section 1: Employee information and verification

Section 1 of the Form I-9 must be completed after an employee has accepted the offer of employment and been entered into Workday, but on or before the first day of work.

Once hired and entered into Workday, the employee can log into Workday to complete three onboarding tasks that will automatically complete some fields in the form "I-9 Section 1", which will automatically appear in the employee’s Workday inbox.

Section 2: Employer review and verification

Section 2 must be completed no later than the third work day following the employee's start date. Human Resources will view the original documents from this list of acceptable documents to complete this section.

You are strongly encouraged to make an appointment to visit with Human Resources to complete Section 2.  Human Resources is located in University Hall, Suite 1900.

Frequently Asked Questions

  • E-Verify is a system operated jointly by the Department of Homeland Security (DHS) and the Social Security Administration (SSA) that allows employers to electronically verify an employee's eligibility to work in the United States. The E-Verify System compares information from an employee's Employment Eligibility Verification Form I-9 to information contained in DHS and SSA databases.

  • Students are allowed to work temporarily without a Social Security number. It is not required to complete the Form I-9. However, the student should work with the Office of International Students and Scholars (OISS) to get a Social Security number as soon as they are hired. Once the student receives a Social Security number, they must return to Human Resources to have their Social Security card processed in Workday.

  • Students should contact HR if they do not have any acceptable documentation accessible to them so that we may find an alternative solution to submit documents.
