Completing the I-9
Human Resources manages employment eligibility verification for all university employees. Federal law requires employers to confirm both identity and authorization to work in the United States. To meet these requirements, Loyola Marymount University uses the following tools to verify employment eligibility for newly hired faculty, staff, and student employees:
- Form I-9 — Employers are required to complete the Employment Eligibility Verification Form I-9 for all new and rehired employees (both U.S. citizen and noncitizen).
- E-Verify — An online platform operated by the Department of Homeland Security electronically confirms an employee’s work authorization.
- Workday — LMU’s HRIS (Human Resources Information System) used to maintain employee records and facilitate employment eligibility verification.
Completing an I-9 online
Section 1: Employee Information and Attestation
Section 1 must be completed after the employee accepts an offer and is entered into Workday, but on or before the first day of work.
Once the employee has been hired and added to Workday, they will receive three onboarding tasks. Completing these tasks will auto-populate certain fields in the “I-9 Section 1” form, which will appear in the employee’s Workday inbox.
Section 2: Employer Review and Verification
Section 2 must be completed by Human Resources no later than the employee’s third workday. HR will review the employee’s original documents from the List of Acceptable Documents to verify identity and employment eligibility.
Employees are strongly encouraged to schedule an appointment with Human Resources to complete Section 2. HR is located in University Hall, Suite 1900.

E-Verify is a system operated jointly by the Department of Homeland Security (DHS) and the Social Security Administration (SSA) that allows employers to electronically verify an employee's eligibility to work in the United States. The E-Verify System compares information from an employee's Employment Eligibility Verification Form I-9 to information contained in DHS and SSA databases.

Students are allowed to work temporarily without a Social Security number. It is not required to complete the Form I-9. However, the student should work with the Office of International Students and Scholars (OISS) to get a Social Security number as soon as they are hired. Once the student receives a Social Security number, they must return to Human Resources to have their Social Security card processed in Workday.

Students should contact HR if they do not have any acceptable documentation accessible to them so that we may find an alternative solution to submit documents.
